SMTP API

Email delivery in your process – not as an Outlook message manually written and sent by someone.

Connecting SMTP – Customized and Seamless

SMTP is the universal protocol for email delivery – the foundation through which every email traverses the Internet. For operationally complex companies, SMTP integration is relevant because email plays a role in almost every business process – and sending should not occur manually through Outlook but function as an automated component of operational workflows. We integrate SMTP-based email services into custom business software. No pre-made standard connection, no plug-in with limitations – but a tailored connection that fits precisely to your processes and your system.

What We Connect

Integration Options
🔄Automatically sending emails from the system – confirmations, notifications, reports, documents
📊Mapping sending volumes, delivery rates, and bounce rates in central monitoring
📄Capturing incoming emails via IMAP/POP3, classifying, and assigning them to the correct process
Event-driven workflows – e.g. send invoice upon order release, send reminders on deadline expiry
🔗Seamless connection to any SMTP server – your own infrastructure, providers, or specialized services

How the Integration Works

We work directly with SMTP for sending and IMAP/POP3 for receiving – compatible with any email server. The connection is developed as a fixed part of your Operating System – no third-party middleware, no workaround. What this specifically means:

🏗️Custom connection – built for your infrastructure, not for the average
🔄Automatic data flow – emails are sent and received based on events
🗄️A data foundation – email communication becomes part of your central process history
🛡️Secure and GDPR-compliant – TLS-encrypted, SPF/DKIM-authenticated, and documented

Typical Use Case

A service company with 50 employees sends dozens of business-critical emails daily – confirmations, invoices, status updates. Until now, someone manually writes each email. Nobody knows if the invoice was received. Incoming replies end up in individual inboxes. Communication halts in case of illness.

With the integration, the Operating System automatically sends emails – using the existing SMTP server. Order confirmations upon approval, invoices upon billing, reminders upon deadline expiry. Each email is linked to the respective process. Incoming replies are captured via IMAP and documented in the file. Delivery issues are identified. Email becomes an automated component of every process – without new infrastructure.

Part of Your Operating System

SMTP is the most universal email infrastructure. But when sending occurs manually and replies vanish in individual inboxes, email remains isolated. Only as part of an integrated system does SMTP unleash its full benefit – when emails arise from business events, replies are matched, and communication happens not alongside the system but within it. We develop AI-powered Operating Systems for operationally complex companies. The SMTP integration is one building block of that.
